The role
Accounts Payable
- Process vendor invoices and maintain accurate payment records
- Schedule and monitor vendor payments
- Reconcile vendor statements and resolve discrepancies
- Assist with expense management and documentation
- Maintain organized vendor records and supporting documentation
Accounts Receivable + Billing
- Generate and distribute customer invoices
- Monitor customer accounts and outstanding balances
- Follow up on past-due invoices and collections
- Maintain accurate customer billing records
- Research and resolve payment discrepancies
- Process customer refunds, adjustments, and credit memos
- Maintain documentation supporting billing adjustments and account changes
Bookkeeping + Financial Operations
- Perform daily and monthly account reconciliations
- Maintain accurate financial records within QuickBooks and other accounting systems
- Assist with cash management and transaction tracking
- Support payroll-related accounting activities as needed
- Prepare reports and schedules for leadership review
- Maintain organized accounting records and supporting documentation
Inventory + Operational Accounting
- Assist with inventory reconciliations and inventory-related accounting activities
- Support inventory tracking and investigate inventory discrepancies
- Collaborate with operations and warehouse teams to maintain accurate inventory records
- Assist with inventory reporting and analysis as needed
- Support inventory-related process improvements and documentation
Month-End Support
- Assist with month-end close processes
- Support account reconciliations and balance sheet reviews
- Help identify and investigate accounting discrepancies
- Maintain organized financial documentation
- Assist with preparation of financial reports and supporting schedules
Process Improvement & Special Projects
- Help develop and document accounting procedures and SOPs
- Identify opportunities to improve efficiency and accuracy
- Support implementation of new systems and workflows as the company grows
- Participate in special projects and process improvement initiatives
- Support audits, year-end activities, and compliance-related requests
- Perform other accounting, administrative, and operational duties as assigned by management
Within the first 90 days, this person will:
- Take ownership of AP and AR processes
- Maintain timely and accurate billing activities
- Improve visibility into outstanding receivables
- Establish strong reconciliation routines
- Support inventory tracking and reconciliation efforts
- Identify opportunities for process improvements
- Become a trusted resource for financial operations support
Qualifications
Required
- 3+ years of bookkeeping, accounting, accounts payable, accounts receivable, or related experience
- Strong understanding of bookkeeping fundamentals
- Experience with QuickBooks or similar accounting software
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities independently
- Proficiency with Microsoft Excel and/or Google Sheets
- Strong written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive financial information
Preferred
- Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field
- Experience supporting month-end close activities
- Experience with inventory management, inventory reconciliation, or inventory-related accounting processes
- Experience in e-commerce, retail, wholesale, or consumer products businesses
- Experience creating SOPs and improving accounting workflows
- Experience supporting a growing small business environment
